Privacy policy

This policy explains how the operator of HerdMate (we, us) handles personal information when you use herdmate.farmsystem.com.au or related support. HerdMate is a Farmsystem product.

The terms of use sit with this policy.

1. What we collect

• Account data — farm name, username, email, hashed password, role.
• Farm records you enter — cow tags, bull recommendations, FTAI protocols, runs, calendar events, settings, and notes you type.
• Payment data — Stripe processes cards. We do not store full card numbers. We may store a Stripe customer or subscription id, plan, and status.
• Technical data — IP address, browser type, timestamps, and server logs, for security and fault-finding.
• Support content — emails you send us.

We do not ask for government ID or health information about people. Do not put other people’s sensitive information in notes if you do not need it for the farm.

2. Why we collect it

To run your farm account, process subscriptions, reset passwords, answer support, keep the service secure, and improve reliability. We do not sell farm records. We do not use your mating list to advertise other companies’ products to you.

If you do not give account data, we cannot open or recover an account.

3. Who we share it with

• Hostinger — hosting and database.
• Stripe — payments. Their privacy policy applies to card data.
• Email provider — if we send mail from a Farmsystem mailbox.

We share information if the law requires it, or to protect the service from abuse. Staff of Farmsystem may see a farm’s records when you ask for support, or when we have to fix a fault.

4. Where it is stored

Servers are hosted with Hostinger. Backups may exist. Farm queries are scoped by farm id from the login session.

5. How long we keep it

While the account is active. If you cancel and ask us to delete the farm, we will delete or de-identify records we no longer need to keep for tax, dispute, or legal reasons. Stripe keeps its own payment records.

6. Access and correction

You can edit farm settings and records in the app. For a copy or a deletion request, email calfmate@farmsystem.com.au from the address on the account.

We treat this as personal information under the Australian Privacy Principles where they apply. This page is not legal advice. If you need advice, speak to a lawyer.
